Setting Up Inquiry Links for Specific Waitlist Groups

Setup guide for Marinas to use custom inquiry forms to help boaters indicate their desired waitlist groups.

Why Use Custom Inquiry Forms for Waitlist Groups?

Custom inquiry forms allow marinas to:

  • Organize leads by specific locations or preferences.

  • Control which waitlist group each boater is added to.

  • Capture boater preferences and needs upfront, making it easier to assign them to the correct group.

Step-by-Step: Setting Up Waitlist Groups and Custom Inquiry Forms

Here’s how to set up waitlist groups and link them to custom forms that boaters can complete, ensuring their inquiries go to the correct group:

Step 1: Create Contract Groups for Each Waitlist Category

  1. Go to Your Dockwa Admin Dashboard and navigate to the settings for contract groups.

  2. Create a New Contract Group for each location or category you want. For example:

    • "Dinghy Dock Waitlist"

    • "Inner Harbor Moorings Waitlist"

  3. These contract groups don’t necessarily have to be used for contracts—they’re simply a way to organize inquiries or leads by each location.

Step 2: Build a Custom Inquiry Form for Each Group

  1. Navigate to the Lead Forms Section in your Dockwa admin dashboard.

  2. Create a New Lead Form and customize it with questions that are specific to each location or group. Include a required question that asks the boater to specify their preferred waitlist, e.g., “Which waitlist would you like to join?”

  3. Assign Each Lead Form to a Contract Group by linking the form to one of the waitlist-specific contract groups you set up. This ensures that when a boater submits their inquiry, it’s routed to the correct group.

Step 3: Add Links to Your Website

  1. Place Links to the Forms on Your Website: Add links to each specific lead form on your marina’s website where boaters can easily find them. For example:

    • “Join the Dinghy Dock Waitlist”

    • “Join the Inner Harbor Mooring Waitlist”

  2. By providing clear links, boaters can select their preferred location or waitlist, and the inquiry will flow into the right group automatically.

Tips for Managing Waitlists

  • Convert Inquiries Smoothly: Once an inquiry is submitted, staff can convert it into a waitlist lead, making it easy to assign boaters to the correct list.

  • Monitor and Adjust Forms as Needed: You may find that additional questions or refinements to the form help capture more precise information.

By following these steps, you’ll be able to efficiently organize waitlist inquiries, ensuring boaters have a clear, easy process for expressing their preferences. This setup improves workflow for staff and helps boaters feel confident they’re on the right list for their needs.
