How to Create and Manage Point Of Sale Items and Quick Keys

This article guides you through the process of creating and managing sales items, such as ice, fuel, or snacks, within Dockwa.

Adding and managing sales items is essential for an efficient checkout experience. Using Quick Keys saves time by providing easy access to your most popular items, reducing the need to manually search for them during each transaction.

Adding a Sales Item

From your Dockwa dashboard, locate the Sales option from the left hand navigation menu. This is where you'll manage the items you sell, whether physical products or services.

To Add a new item:

  • Select Items from the Sales dropdown list.

  • Click + New Item in the upper right corner of your Items screen.

  • Select the appropriate Item Type (Boat Storage, Deposit, Electric, Fee, Fuel, Standard), and give the item a name. Adding a SKU is completely optional.

  • Set the Price and Tax the system should default to when this item is added to a Sale.

The price and tax for an item can be customized during an individual sale. This is simply setting what the system should default to when the item is initially rung up.

  • Choose a Category for the item - This is more specific than the Item Type set earlier, and allows for more accurate sales reporting.

  • Next, If the item has a specific amount of inventory on hand, you can check the box to enable Inventory Tracking. You'll then be able to set a Low Balance Point to have the system let you know if you're running low.

  • Availability decides where this Item should appear in Dockwa:

    • Contract/Reservation Add-Ons allows this item to appear when adding a new Charge Item directly to a boater's existing Contract or Reservation.

    • Point Of Sale Ensures the item will show when ringing up a new Point of Sale transaction.

  • Click Save to add the new item to your account.


Editing or Removing a Sales Item

  1. Locate the Item in your Items tab.

  2. Click the 3 vertical dots to the far right of the Sale Item.

    • Click Edit next to the item to adjust details like price, name, or description.

    • Use Make Inactive if you no longer need this Item.


Setting Up Quick Keys

Quick Keys allow you to create shortcuts for commonly sold items by category, making them accessible with a single tap during checkout.

  1. Access Quick Keys Setup

    • In the Point of Sale section, look for the Manage dropdown menu in the upper right corner of your POS layout.


  2. Click Edit or New Layout.

  3. Click any of the + Add New squares. This is space where the Quick Key will display on your Point of Sale Dashboard.

  4. Search for an existing sale item to add to this Quick Key. Multiple items can also be added under a single Quick Key to group frequently used items within the same category.

  5. Name your Quick Key (e.g., "Bag of Ice," "T-Shirt," "Supplies")

  6. Save.

You can easily reorder your Quick Keys in the edit menu by dragging and dropping to a new square!


Tips for Efficient Sales Management

  • Group Items by Category to make it easy to locate items for both you and your team.

  • Update Quick Keys Seasonally if you have items that are more popular during certain times of the year.

  • Review Sales Regularly to ensure prices and item availability are up to date, so you’re always ready for customer needs.
