Creating a Manual Invoice in QuickBooks to Match Dockwa's Sync

If a charge failed to sync to QuickBooks automatically, you can enter it yourself so your books stay current while the underlying issue gets fixed.

Before you start: get the reference number, date, and line item details for this specific charge from your Dockwa Sync Details page. These values come from Dockwa's records and need to match exactly — don't estimate or reformat them.

Steps

  1. Navigate to the Sales transaction page in Quickbooks. Go to + New → Invoice.

  2. Customer: select the customer this charge belongs to.

  3. Invoice date: use the date Dockwa provides for this charge — this may not be today's date.

  4. Due date: use the due date Dockwa provides.

  5. Ref no. / Invoice no.: enter the reference number Dockwa provides exactly, character for character (e.g. ABC12345D7.250115). This is what ties the QuickBooks record back to the Dockwa charge.

  6. Add a line item for each charge:

    • Product/Service: select the item already mapped for this charge type on Dockwa's Item Mapping page (Marketplace → Accounting → Item Mapping) — don't create a new one.

    • Description: the description Dockwa provides.

    • Quantity and Rate: as provided by Dockwa.

    • Amount: should calculate automatically — confirm it matches what Dockwa provided.

  7. Sales tax: if this charge included tax, add it using the tax amount Dockwa provides.

  8. Memo: Dockwa labels these charges as "Dockwa Reservation #[ID]", "Dockwa Contract #[ID]", "Dockwa Point of Sale #[ID]", or "Dockwa Work Order #[ID]" depending on the source. Enter the matching label in the invoice's memo/note field so it's identifiable later.

  9. Save.
