Creating a Manual Credit Memo in QuickBooks to Match Dockwa's Sync

If a return or cancellation failed to sync to QuickBooks automatically, you can enter the credit memo yourself so your books stay current while the underlying issue gets fixed.

Before you start: get the reference number, date, and line item details for this credit from your Dockwa Sync Details page. These values come from Dockwa's records and need to match exactly — don't estimate or reformat them.

Steps

Navigate to the Sales transaction page. Go to + New → Credit Memo.

Customer: select the customer.

Credit memo date: use the date Dockwa provides.

Ref no. / Credit memo no.: enter the reference number Dockwa provides exactly, character for character (e.g. ABC12345D7.250115c).

Add a line item for each credited charge:

  • Product/Service: use the same mapped item that was used on the original invoice for this charge.

  • Description, Quantity, Rate: as provided by Dockwa.

Sales tax: if the original charge included tax, credit it back using the tax amount Dockwa provides.

Memo: use the same labeling convention as invoices — "Dockwa Reservation #[ID]", "Dockwa Contract #[ID]", "Dockwa Point of Sale #[ID]", or "Dockwa Work Order #[ID]" — so it's identifiable later.

Save.

Apply the credit memo to the invoice(s) it settles. A credit memo on its own doesn't reduce an invoice's balance — see "Applying a Credit Memo to an Open Invoice in QuickBooks" for those steps. If Dockwa gives you a separate reference number for this application step, it will look like the credit memo's number with a "p" added (e.g. ABC12345D7.250115cp) — use it as the reference on that Receive Payment record.
