Troubleshooting "Duplicate Name Exists" & Missing Sync Errors
This guide walks through resolving the most common cause of transactions that fail to sync from Dockwa to QuickBooks Online (QBO): a mismatch between how a customer is recorded in Dockwa and how they're recorded in QBO.
How to recognize this issue
You may see the following:
A sync error referencing "Duplicate Name Exists" is found on a failed sync attempt in ActiveAdmin
A customer's transactions missing entirely from the Marketplace Sync Details table, with no error at all
Why this happens
Dockwa matches a customer to their QBO record using email address only — email is the unique identifier that links a Dockwa customer profile to a QBO Customer record. Name is not used for matching.
Here's the logic:
If the email on the Dockwa customer profile matches the email on an existing QBO Customer record, transactions sync directly into that existing record. No issue.
If no matching email is found, Dockwa attempts to create a brand-new Customer record in QBO using the customer's name and email from Dockwa.
If that name isn't already in use anywhere in QBO, the new Customer record is created successfully — but this can result in a duplicate profile for a customer who already had a legacy QBO record under a different email.
If that name is already in use by any existing QBO record — an active or inactive Customer, Vendor, or Employee — the creation fails. This is what produces a Duplicate Name Exists error, and depending on the transaction type, it may show as an explicit error or cause the transaction to be missing from the sync log entirely with no error shown.
So the root cause is almost always: the email on the Dockwa profile doesn't match the email on the customer's existing QBO record (or that record has no email on file at all). Whether that turns into a duplicate profile or a hard Duplicate Name Exists error just depends on whether the name happens to collide with something else already in QBO.
Step-by-step resolution
1. Identify the exact customer name involved. Pull it from the error message or from the missing transaction detail.
2. Search QBO for that name across all record types. Check Customers, Vendors, and Employees — both active and inactive. Note whether a matching name exists anywhere, and if so, under which record type.
3. Compare emails. If a Customer record already exists under that name, check its email against the email on the customer's Dockwa profile.
4. Determine which scenario applies:
What you find in QBO | What's happening | What to do |
A Customer record exists, but its email differs from (or is missing relative to) the Dockwa profile's email | Dockwa can't match the two records via email, so it either created a duplicate or is attempting to and hitting a name collision | Update the email on the existing QBO Customer record to match the Dockwa profile exactly (or update the Dockwa profile's email to match, whichever preserves the correct historical account). If a duplicate profile was already created, merge it into the original Customer record in QBO to consolidate history. |
The name exists only as a Vendor or Employee (no Customer record), or an inactive record is holding the name | Dockwa's attempt to create a new Customer record fails because the name is already taken | Either free up the name (e.g., rename or reactivate/repurpose the existing record as appropriate) or give the new Customer record a distinguishing display name so creation can succeed, then correct the email match going forward. |
No record of any kind exists under that name in QBO | Dockwa should be able to create a new Customer record automatically | Confirm the email on the Dockwa profile is valid and complete, then request a resync. |
5. Request the resync. Once the correction is made in QBO, let us know and we'll resync the affected transaction(s). Most cases resolve on the next sync attempt without needing a full backfill.
6. Confirm the fix. Check the sync details in Dockwa (or ask us to confirm) that the previously-failed transaction(s) now show as synced in QBO, and that no new duplicate profile was created.
